Set and monitor survey quotas

Set the response target once and let Dayalogs enforce it for the whole survey, a particular group or one access route. Manage quotas in the admin or ask your AI assistant to prepare and monitor them.

Pick the right kind of limit

  • “I want at most 500 responses.” Use a survey quota without conditions. It counts every accepted response.
  • “Stop collecting women over 40 once we have enough.” Use a conditional survey quota. Only matching responses fill that target.
  • “This partner or QR code should bring at most 100 responses.” Use a link or LinkSet quota. It limits that route without closing the rest of the survey.

Set a simple response limit

Open Quotas

Open the survey in the admin and select the Quotas tab.

Name the target

Use a name you will recognize later, such as “Total target”, and enter the threshold.

Leave it global

Do not add conditions. The quota will count every accepted response and close collection at the target.

Stop collecting a specific group

A conditional quota combines answers and variables already available to the survey.

Design tip: ask for or preload quota-critical values early. Dayalogs can only determine whether someone belongs to a full group after it knows the values used by that quota.

Balance several fields at once

Many samples need targets for combinations such as sex × age × region, not just one total per field. Build one conditional quota for each cell, for example woman AND 25–40 AND North, target 25. Each cell fills independently.

You do not need to enter a large crossing table by hand. Give the spreadsheet to your AI assistant, explain which columns define the groups and which column contains the targets, and let it prepare the quotas for review.

What respondents see when a target is full

A respondent who reaches a full applicable quota sees a friendly closed screen, not a technical error. You do not need to remove the survey link or publish another survey version.

Keep counts when the survey changes

Publishing an updated questionnaire does not reset its quotas. The target carries over and the total includes responses collected by the survey versions that still count.

  • Exclude an older version if its questionnaire changed so much that those responses should no longer count.
  • Restore it later without deleting or recreating any responses.
  • Correct a version count manually when fieldwork needs an auditable adjustment.

If a new version removes a question used by a quota, Dayalogs flags the quota for review instead of silently deleting it.
